Purpose of this page

The Promotion of Access to Information Act 2 of 2000 provides a process for requesting access to records where the legal requirements are met. This page gives practical contact and submission guidance. The current PAIA manual and prescribed forms should be requested before submitting a formal application.

Categories of records

Records may include company and governance information; finance and tax records; human-resources records; supplier and procurement information; client and contract records; operational, project, safety and quality records; training and learner administration records; security-service records; technology and information-management records; policies; correspondence; and statutory registration information. The existence of a category does not mean every record is available for access.

How to submit a request

Use the prescribed private-body request form and identify yourself, the record requested, the preferred form of access, your contact details and the right you seek to exercise or protect. Explain why the requested record is required for that purpose. Submit the completed form and any required proof of identity to the Information Officer.

Fees and processing

Prescribed request, search, preparation, reproduction or delivery fees may apply. Where applicable, the Information Officer will advise the requester of the amount and payment process. A request is assessed under PAIA and other applicable law; access may be granted, partly granted, refused or deferred according to the circumstances.

Privacy and confidential information

A PAIA request does not automatically override privacy, confidentiality, legal privilege, commercial sensitivity, safety or security protections. Personal information is also subject to the Protection of Personal Information Act 4 of 2013.
